Your information and choices

Event participation

Six80 Exotics uses your name and verified email or manually verified Instagram handle to manage your event response, send essential event messages and maintain a directory relationship. A verified match uses your existing record; a new participant receives a Guest record. This does not create a sign-in account, grant member privileges or enroll you in marketing. Only you and authorized organizers can access your response.

Member access emails

An authorized administrator can send approved members an operational email explaining how to sign in and set up their profile. These messages do not create an account, grant additional permissions or subscribe you to marketing. We retain limited notification request and delivery-attempt records for up to 90 days.

Optional profile photos

You can upload a photo or explicitly choose a supported connected Google photo. We store a processed private copy, separate from identity verification. Your photo is shown to eligible attendees only if you choose photo sharing and also choose to appear at that event. You can replace or remove it anytime. Email and manual Instagram verification do not import a profile picture. Removal stops new access and queues deletion; encrypted backups follow their rotation.

Event photo albums

Eligible confirmed participants and organizers can access an event’s private album when enabled. Uploading is optional and requires permission to share the photo. Other eligible participants can view and download optimized copies labelled with your display name, upload time and an available camera capture date. We remove location/device metadata and delete originals after processing. You can remove your uploads or report a photo to the organizer; downloaded copies cannot be recalled. Event media is normally deleted 90 days after the event, abandoned uploads after 24 hours, and temporary ZIP downloads after one hour. Worker outages can delay physical deletion; access remains restricted. Protected backups follow their separate rotation. Photos are not automatically reused for marketing.

Optional emails

Future event announcements, news and marketing, and offers and promotions are separate, optional choices. All start unchecked. Choices are activated only after mailbox verification and an explicit save. We do not share your contact details with partners for their own marketing without separate permission. Email consent does not authorize Instagram messages.

Use the email preference center to change categories or unsubscribe from all optional emails. Unsubscribing does not cancel your RSVP or stop essential messages about that event. A repeated RSVP does not subscribe you again.

Verification and retention

We record verification evidence, the wording version, your selections, their source and timestamps. Email codes expire after 10 minutes; preference sessions expire after 24 hours and verification records are removed after the cleanup window. Guest RSVP information follows the event retention schedule, normally 90 days after the event. Consent evidence is kept while preferences are active and for up to one year after withdrawal. We retain a minimal suppression record to prevent unwanted resubscription. Member records follow the member lifecycle, and protected backups expire under the backup schedule.

Page access reporting

We retain limited page request records for up to 90 days to understand site use. These include time, page category, event context, referring website hostname and broad browser or automation, device-type and operating-system categories. When you are signed in as an approved member, your record can identify your member profile. We also use the trusted hosting ingress to record IP addresses for up to 7 days and approximate country, state or region, city, continent and timezone for up to 90 days, where available. Browser family is recorded without the full user-agent string. IPs may be shared by multiple people or reflect a VPN or relay; they do not establish identity. We do not use fingerprinting or analytics cookies. The report does not store invitation credentials, search terms or full referring URLs. Only the Owner can review or export these records. Hosting providers may separately maintain operational and security logs; protected backups follow their rotation.

Access and requests

You can manage your RSVP by verifying the same email or repeating the Instagram DM challenge on the response recovery page. For directory corrections, access, deletion or other privacy requests, contact the event organizer using the contact information supplied with your invitation. Deletion requests require identity verification and may be subject to necessary legal record retention. We use configured email and hosting providers to operate these services; optional communications are not sold or shared for independent partner marketing.
